From content analysis to automatic document classification

AIDA automatically identifies the type and subject matter of a document as soon as it is entered into the system. It uses built-in machine learning models, including automatic RWA classification (also compliant with public administration requirements, such as the uniform classification of official records), to assign documents to the appropriate category or case type. The system can also be trained to classify documents based on an organization’s specific materials, ensuring customization to meet the organization’s needs and enabling classification based on any case dictionary.
After recognizing the document, AIDA automatically extracts key metadata from its content. The system identifies information such as the sender and sender’s address, dates (e.g., date of the letter and date of receipt), case number, and other relevant contextual data. The scope of extracted information can be expanded — AIDA learns from an institution’s documents, enabling it to increasingly improve the accuracy of retrieving required data over time. The extracted data is then used to populate the document’s registration fields within the workflow system.
Using generative AI algorithms, AIDA creates a concise document title and a brief summary of its content. This allows users to quickly understand the subject of the document without needing to read it in full. The automatically generated title and summary streamline archiving and later retrieval of cases, as well as facilitate forwarding the document to the appropriate department or individual.
AIDA is designed to handle documents regardless of their format. The system processes scanned images of letters (PDF or high-resolution scans), electronic text files (PDF, DOC/DOCX), and email correspondence (EML formats) with equal effectiveness. Thanks to built-in AI-powered OCR capabilities, even paper documents become machine-readable after digitization and can be automatically analyzed by the system.
AIDA operates as a standalone module (based on a microservices architecture) and can be easily integrated with any existing document workflow system or correspondence management platform. Thanks to its REST API, the document assistant works seamlessly with popular DMS/Workflow solutions, passing extracted data and classification results directly into these systems.
